Quality-System Documentation Support

Procedures, forms, records and change control written to describe what your organization actually does — in your numbering scheme, your house style and at the level of prescriptiveness you want to be held to.

1.0 Principle

Two opposite failures, one root cause

Quality systems fail audits in two directions. Either the documentation describes something the company does not do, or the company does something the documentation never described. Both are documentation problems, and both are fixable without changing how the business operates.

The first usually comes from adopting a template system: procedures written for a different company, adopted wholesale, committing you to practices you never intended. The second comes from growth — processes evolved, the documentation did not.

Documentation should be written at the level you are willing to be audited against. Over-specifying is not a virtue; it is a commitment.

Prescriptiveness is a decision

A procedure that names a specific form, a specific frequency and a specific approver is easy to audit and hard to live with. One that describes intent and leaves method to the process owner is flexible and harder to demonstrate. AiroQue raises that trade-off explicitly for each procedure rather than defaulting to one style.

AS9100 implementation support

For organizations implementing AS9100 or preparing for certification, AiroQue builds out the documented system against the requirements you supply, and identifies where current practice and documentation diverge. The certification audit itself is conducted by your registrar.

Gap assessments

A structured comparison of your documented system against the requirements applicable to you, returning a findings list you can resource and schedule — not a rewrite proposal.

3.0 Tailoring

Written into your system, not alongside it

New documentation that looks and reads differently from everything around it is the first thing an auditor notices — and the first thing your own people ignore.

Consistent with what you already have

AiroQue works from your existing documents to match numbering, structure, voice and conventions, so a new procedure is indistinguishable in style from one written five years ago.

Numbering and hierarchy

Your document numbering scheme, level structure and cross-reference conventions, extended consistently rather than replaced.

House style and voice

Sentence structure, terminology, use of shall and will, section ordering and header formats matched to your existing controlled documents.

Level of prescriptiveness

Set per procedure, deliberately — tighter where consistency or customer requirements demand it, looser where process owners need latitude.

Forms and records

Built to fit your existing record-keeping, whether that is paper, spreadsheets, your ERP or a QMS platform.

Implementation depth

Documentation only, or documentation plus support in rolling it out — briefing owners, adjusting after first use, and revising what does not work in practice.

Scope control

One procedure, a process area, or a full documented system. AiroQue will say plainly when a system needs less work than you expected.

Documentation that no longer matches the business?

Send a sample of your current procedures and the requirement you are working to. AiroQue will identify what needs revision and what can stay as it is.
